Job Responsibilities :
· Preparing Quotations, Job orders, delivery notes, hire agreements, LPO’s before delivery of machines & crane.
· Follow-up with customers on quotation status.
· Giving proactive calls to different companies asking for AWP machine hiring requirements.
· Attending to incoming hire desk-related calls & forwarding to rental manager separately to crane and AWP.
· Preparing reports related to AWP/crane maintenance for customers in coordination with workshop manager.
· Follow up AWP machines Break down with workshop manager
· Ensuring all paperwork is completed and filed in coordination with the workshop Manager to ensure machines are ready to dispatch to clients.
· Arranging the correct transport to deliver the machines after coordinating with site persons and the sales manager for delivery & collection times, site location details & specific site access needs. (AWP only)
· Preparing “pre-delivery” photographs of the machines & having them printed out and attached with the delivery notes. (AWP only)
· Maintaining a machine crane and operator-wise separate files with updated 3rd party certificates, certificates for slings, hook block, and operator. Update it on a monthly basis.
· Preparing the delivery notes and providing them to the transporter.
· Prepare daily AWP/ crane utilization reports and equipment availability reports for the rental manger
· Scheduling and preparing off-hire notes as per the instructions from the customer letter and Sales manager.
· Arranging the transport to return the equipment in coordination with the customer.
· Preparing off-hire notes, and operator’s timesheets and delivering the appropriate files to the accounts dept., to generate the invoices.
· Entry of Operator time sheet (commission)/AWP time sheet in ERP for invoicing.
· Maintaining daily machine & crane movement sheets and cross-checking the transport invoices and job orders daily basis.
· In conjunction with the workshop manager, preparing damage reports, and credit notes, estimating costs in coordination with the Technical Department, and coordinating with sales staff for the generating of invoices accordingly.
· Keep the updated record of the crane operator’s visa, passport, Emirates ID, fitness certificates, photos, and vaccination cards record for customer’s perusal.
